Privacy Policy
Martide Manning Latvia SIA, trading as Martide Manning, is the controller of the personal data collected through this website. This page outlines how we collect, use, and protect it.
Data We Collect
We may collect personal information such as your name, email address, and professional details when you contact us or submit a form on this website. We also collect standard usage data (such as IP addresses and browser type) through analytics tools to help us improve the site. If you apply for seagoing work through this website, what that Application contains is set out in full under Applications for Seagoing Work below.
How We Use Your Data
Information you provide is used solely to respond to your enquiry or to provide the services you have requested. We do not sell or share your personal data with third parties for marketing purposes.
Data Retention
We retain your personal data only for as long as necessary to fulfil the purpose for which it was collected, or as required by applicable law. Applications for seagoing work are kept for the fixed periods stated below.
Your Rights
Under the GDPR and applicable Latvian data protection law, you have the right to access, correct, or request deletion of your personal data. To exercise any of these rights, email us at privacy@martide.com.
Applications for Seagoing Work
When you apply for work through this website you submit an Application: one record of your interest in sailing through Martide Manning. It is never a claim on a particular vacancy. This section sets out what that Application contains, why we hold it, where it is stored, how long we keep it, who else sees it and how to have it deleted. Please read it before you send us anything.
What an Application Contains
- your name;
- your email address and telephone number;
- your nationality;
- the Rank you are applying to sail in;
- your CV, as a file you upload;
- if you reached us by clicking an advertisement, the click identifier that the advertisement added to the link (a Google Ads gclid). This is an online identifier, and so it is personal data about you in its own right. We use it only to understand which advertising reaches seafarers, never to build a profile of you.
Why We Hold It, and On What Basis
We hold your Application so that a recruiter can consider you for seagoing work and contact you about it, and — if a recruiter takes your Application forward — so that your details can be used to create your seafarer profile on the Martide platform, run by the wider Martide group that Martide Manning belongs to.
Our lawful basis is your consent, which you give by ticking the box on the apply form. We do not rely on that consent for anything beyond what the box says, and the box reads:
I consent to Martide Manning Latvia SIA processing the details and CV in this Application so that I can be considered for seagoing work. Where my Application is handled by Martide Manning's Licensed Partner in the Philippines, I consent to it being shared with our Philippine Licensed Partner at Makati City, Philippines (DMW Licence DMW-085-SB-02152024-R-MLC) for the same purpose. I have read the Privacy Policy, and I understand that I can withdraw my consent at any time.
Where It Is Stored, and How It Is Searched
Applications are stored on Cloudflare's infrastructure. Cloudflare processes them for us as our data processor, and may use that personal data only on our documented instructions or as required by law. The CV you upload is held in EU-located object storage (Cloudflare R2), so the file itself stays in the European Union. The rest of the Application — your details and your Rank — is held in Cloudflare's database service (Cloudflare D1).
So that a recruiter can find you by your experience and not only by your Rank, we make the words in your CV searchable. Cloudflare reads the file, extracts the text from it, divides that text into passages and builds keyword and semantic search indexes. A recruiter can then search for something like "LNG cargo experience" and see the passages of your CV that the service matches and ranks as most relevant.
That matching and ranking is automated, but it does not make a decision about you. We do not use this search to make solely automated decisions: it cannot contact you, reject you or change your Application. A recruiter reviews the results and decides whether to contact you or take your Application forward.
That is worth being exact about, because it is not the same as where the file sits. The file you uploaded stays in EU object storage and is not moved. What is made from it — the text taken out of your CV, its numerical representations (called embeddings), and the indexes built so it can be searched — is held by Cloudflare's search service. That content may be processed and stored outside the European Economic Area (EEA). Cloudflare does not keep it for its own purposes and does not use it to train AI models or improve its services without our explicit consent.
Where that processing is a restricted transfer outside the EEA, Cloudflare's Data Processing Addendum applies the EU Standard Contractual Clauses and additional safeguards. You can read Cloudflare's Data Processing Addendum, including those clauses, on Cloudflare's website.
This applies to CVs we already hold as well as to new ones. The index is built from the CVs on file, so deleting your Application — on the schedule below, or sooner if you ask us — also removes the text taken from your CV from the index. That removal follows deletion rather than happening at the same instant, so it may take a short time for the text to stop appearing in search results.
How Long We Keep It
Your Application is deleted 12 months after you submit it, including your CV. That is the same whether or not you finish uploading a CV. You do not have to wait for that period to run: ask us and we will delete your Application sooner.
Sharing with Our Licensed Partner in the Philippines
Martide Manning operates from one office, in Rīga, and holds no Philippine recruitment licence. Filipino seafarers are recruited and deployed through our Licensed Partner, a separate company with its own licence from the Department of Migrant Workers:
Philippine Licensed Partner
Northpoint Corporate Tower, 7502 Bagtikan St. cor. Guijo St., San Antonio Village
Makati City 1203, Philippines
DMW Licence: DMW-085-SB-02152024-R-MLC
Where your Application is handled by the Partner, the whole Application, including your CV, is sent to our Philippine Licensed Partner so that they can consider you for work and contact you about it. Which of us handles your Application is decided when you submit it, on the basis of your nationality.
The Philippines is not covered by an adequacy decision of the European Commission, so this transfer is made under the Standard Contractual Clauses approved by the European Commission (Article 46 GDPR), which we have entered into with our Philippine Licensed Partner. You can obtain a copy of those clauses from us on request: email privacy@martide.com and we will send you one.
The Anti-Spam Check on the Form
The apply form is protected by Cloudflare Turnstile, a challenge that checks a submission comes from a person rather than a script. It sets a cookie in your browser so that the check does not have to be repeated. That cookie is strictly necessary to protect the form from automated abuse; it is not used for analytics, advertising or profiling.
Error Reports from This Website
When something goes wrong on this website, we send a technical error report to Sentry, which processes it for us as our data processor so that we can find and fix the fault. A report describes what failed and where. It can include the page you were on, your browser and its version, and technical detail from our own systems, which may mention your email address where that is part of what failed. It never includes your CV.
Sentry stores these reports outside the European Economic Area, in the United States. That country is not covered by an adequacy decision of the European Commission, so the transfer is made under the Standard Contractual Clauses approved by the European Commission (Article 46 GDPR), which we have entered into with Sentry as part of our data processing agreement with them. You can obtain a copy of those clauses from us on request: email privacy@martide.com and we will send you one.
Withdrawing Your Consent, and Erasure
You can withdraw your consent at any time, and you can ask us to delete your Application at any time. Here the two come to the same thing: consent is the only basis on which we hold an Application, so if you withdraw it we delete the Application, including your CV. Withdrawing does not affect anything we lawfully did before you withdrew.
Email privacy@martide.com, telling us the name and email address you used so that we can find your Application. Where it has already been shared with our Licensed Partner, we will pass your request on to them as well. The rights set out under Your Rights above — access, correction and erasure — apply to your Application too.
